Under the direction of the Senior Executive Assistant, the Administrative Assistant provides comprehensive administrative support to ensure smooth daily operations for a team or department. This role involves managing calendars, coordinating travel, organizing meetings, and preparing documents and reports. The assistant serves as a key point of contact for internal and external stakeholders, handles correspondence, maintains filing systems, and supports onboarding activities. Strong organizational skills, attention to detail, and proficiency in MS Office are essential for success in this position. his role reports to: Senior Executive Assistant.

Administrative SupportManage calendars, schedule meetings across multiple time zones, prepare agendas, reserve meeting rooms, and arrange catering when needed. Coordinate with other administrative staff and attendees to confirm availability.

Event & Project CoordinationPlan and manage special projects and events, including global meetings and project-related sessions. Arrange facilities, catering, invitations, and travel for internal and external participants.Monitor and control event budgets.Prepare visual presentations and meeting materials as needed.

Meeting Support Organize and support leadership meetings, including preparing materials, recording minutes, and tracking action items.

Project SupportCollect and organize data for projects, follow up on outstanding items, and act as liaison between teams.

Visitor CoordinationGreet visitors, manage access, and ensure appropriate arrangements.Perform other related duties as assigned.

Qualifications:

EducationHigh School Diploma or equivalent vocational or technical training. Bachelor’s degree or Technical College degree a plus. Experience1-2+ years' administrative support experience preferably in pharmaceutical industry

Competencies:Technical Proficiency: Skills in Microsoft Office Suite and ability to learn systems / databases. Time Management: Demonstrated time management and organizational skills with the ability to effectively prioritize tasks.Ability to manage several ongoing activities and work indepently or as part of a team. Detail oriented.Strong customer service focus with the ability to work with different stakeholders.

The expected wage range for this position at hiring is $31.73/hour - $37.98/hour. Please note this wage range reflects the minimum and maximum base pay that CSL expects to pay for this position at the listed location as of the time of this posting. Individual base pay for a successful candidate is determined by qualifications, skill level, experience, competencies and other relevant factors.
