Job Description: Area Property Manager Position Reports to: Director of Property Management JOB SUMMARY The role of the Area Property Manager is to manage the day to day activities, finances, and conditions of assigned properties. In your role as a Area Property Manager you will have the following authority and responsibilities: • Primary duty: Manages assigned properties. • Supervision: Customarily and regularly directs the work of two or more other employees, agents or subcontractors. • Authority: Can hire and fire or suggest changes in status of other employees. • Discretion: Customarily and regularly exercises discretionary powers. RESPONSIBILITIES AND DUTIES Tenant Management • Respond to tenant concerns in a timely manner when filtered down from Tenant Support. • Build relationships through phone conversations, AppFolio communication, and property visits. • Coordinate the “move-in day” for all new tenants according to Diamond Property Management policy and procedures. • Effectively communicate to all current residents projects, snow removal and other updates in an effort to provide an exceptional living experience. • Assist in the completion of rent certificates as needed. • Manage and lead all transfer requests according to Diamond Property Management policies. Property Management • Walk every door, every hallway, every building, every week. • Complete required visit reports at the direction of your supervisor. • Identify and develop vendor partners as necessary, vetting them to ensure they align with the goals and policies of Diamond Property Management. • Develop and maintain vendor relationships for both regular services and special projects on the property. • Create all required warnings, and 5-day non-rent related notices, while being consistent with Fair Housing laws and following the policies of Diamond Property Management. • Manage the quality and quantity of the work performed by the onsite maintenance and cleaning teams. • Manage and lead the Make Ready process for all vacant units. • Ensure your property has the needed supplies and materials by managing all purchases through Menards, arenaflex and Bento accounts. • Complete a complex wide, unit by unit inspection on an annual basis. Financial Management • Verify and approve all invoices in a timely manner through AppFolio. • Enter and manage fixed assets at both the property and the unit level. • Maintain a focus on providing an exceptional living experience while meeting the financial needs of the investors. • Complete the move-out process, charges, and disposition letters for all vacating tenants following Diamond Property Management policies and procedures. Other • Assist in attending court for evictions as needed. • Follow all required company, local, state and federal laws and guidelines in regards to leasing, and ensure that our policies comply with all housing laws and regulations.Understanding of the look, location, feel and culture of the complexes. • Perform other duties as assigned. • Responsibilities subject to change at any time upon short notice at Supervisor's discretion. • Continuously search for operational improvements and best practices that are in the best interest of DPM. • Review and assess new technology programs and applications for use in the business and this role, assist in implementing and operating new technologies as needed. • Attend and pass required training, and participate in advanced educational courses and seminars, at the direction of your supervisor. • This is a full-time position, but does allow for some flexibility in the schedule structure with approval from your supervisor. • Pre-planned vacations should not be scheduled on the first two OR last two days of each month. Supervisory Responsibilities: Assist in the hiring, training, and managing of all onsite Maintenance and Cleaning technicians at the direction of the Director of Property Management. Computer Skills: To perform this job successfully, an individual should have advanced knowledge of arenaflex Docs, AppFolio (Or other related property management software). Education/Experience: • Previous experience in a customer service related position. (Required) • 2+ of property management related experience and/or sales; or equivalent combination of education and experience.
