This a Full Remote job, the offer is available from: South America, North America, Central America, Latin America, Virginia (USA) Events Operations Coordinator - LATAM - CONTRACT REMOTE POSITION in LATAM CONTRACT ROLE SUMMARY The Event Operations Coordinator, LATAM is responsible for supporting the planning, sourcing, and execution of on-site and virtual events in the LATAM region. They will also help drive buyer/supplier community engagement through membership operations, supporting the regional team with administrative duties. Candidate is ideally located in Colombia, Peru, or Argentina. SCOPE OF WORK - RESPONSIBILITIES Event Operations • Assist with project management and operations fulfillment of multiple events concurrently in the LATAM region including in-person and virtual events. Track and report on event operations progress. • Liaise with event venue and suppliers on RFPs, barters, and contracts. • Collaborate with Americas Events, Business Development, and Marketing teams on the execution and successful delivery of regional events. • Partner with the registration team on managing event registration and reporting through CVENT. • Coordinate project timeline with LATAM team. Manage timelines, action items, and deadlines. • Work with team to create, manage, deliver, and track event status in appropriate tools. • Manage call for proposals process. Manage the collection of education materials for breakout sessions and assist in speaker management. • Support the development of and delivery of event agenda. • Assist with the coordination of regional event operation meetings (conference call or in-person) and timelines/deadlines. • Prepare materials for meetings, to include reviews, research, event vendors, registration, AV, general service contractor, shuttles, etc. and other services as required. Create and distribute meeting summaries. Track all action items from each meeting. • Partner with Marketing to provide event information using the Marketing Needs Assessment form through Airtable. • Assists with meeting logistics, food & beverage functions, housing, transportation, signage, registration, AV, Zoom management and other functions of these events as necessary. • Assist with post-event surveys, reporting, and distribution of materials. Engagement and Membership • Work with GBTA LATAM team to drive membership recruitment; help develop new creative strategies for recruiting new and retaining existing members. • Provide operational support to manage membership administration including email queries, invoicing, and reporting. • Help increase prospective members database and assist in Association awareness. • Analyze membership data to identify trends and opportunities for growth. • Follow up with Volunteer Memberships to ensure renewal. • Partner with Marketing to drive member acquisition activities. • Other duties as assigned. CONTRACT DETAILS • Remote. Active Passport required. • Ideally located in Colombia, Peru, or Argentina. SCOPE OF WORK - REQUIREMENTS • Bachelor's degree or related field experience. • Minimum 3 years of project management/coordination, event, or operations experience. • Experience with project management and event management tools. • Detail oriented and highly organized. • Strong technical skills, including cloud-based systems. Must have a high level of skills in MS Office Suite, Zoom, CRM and project management systems. • Excellent interpersonal (oral and written) communication, time management, administrative, multitasking, and organizational skills. • Must have the ability to manage and track deadlines and action items, and professionally secure answers from internal and external staff on deadline items. • Customer service and solutions focused. • English and Spanish bilingual. PREFERRED EXPERIENCE AND SKILLS • Cvent and Clear Vantage experience are preferred. • Thrive in a fast-paced working environment. • Experience supporting trade show events. • Strong verbal and written communication skills, ability to take orders, and ability to show tact and deference towards those in positions of authority and greater responsibility. • Must be flexible, detail oriented, well organized, and be able to think on their feet. • Portuguese language skills preferred. PHYSICAL REQUIREMENTS/WORK ENVIRONMENT • Remote work environment. • Prolonged periods sitting/remaining stationary at a desk and working on a computer. • Must be able to remain stationary and move for long periods of time, during events. • Must be able to work a variety of hours in order to accommodate various meetings and events. • GBTA welcomes all candidates and supports inclusivity and diversity in the workplace.
