ADI Global is searching for a qualified Facilities Leader to ensure our office space is clean, safe and fully operational. Duties include facility maintenance, supplier, building and business liaising, site event setup and breakdown, as well as management of incoming and outgoing mail and shipments. Our ideal candidate is well-versed in facilities management processes and exhibits high multitasking, communication and organizational abilities. JOB DUTIES: • Facility Operations & Maintenance • Oversee daily operations and maintenance of the New York headquarters office. • Coordinate with vendors, building and contractors for HVAC, electrical, plumbing, janitorial, security, and other services. • Support on site events and meetings with planning, setup and breakdown activities • Common area supply management & replenishment • Compliance and Safety: • Ensure facility complies with health, safety, and environmental regulations • Implement necessary protocols to maintain a safe working environment • Site leader for HSE and mitigation/management of emergency situations and incidents • Be the first point of contact for all building emergency alerts, including fire alarms and security systems. • Vendor Coordination: • Collect bids, requests for proposal, and coordinate contractors and service providers. • Supervise third party service providers • Ensure timely and quality maintenance and repair work.​ • Oversee the facility budget, ensuring arenaflex-effective solutions without compromising on quality or safety. • Liaise regularly with site leaders to identify, escalate, and resolve facility-related issues in a timely and efficient manner. • Lead and manage small- to mid-scale projects required to address facility concerns, including planning, scheduling, and coordinating resources. • Ensure clear communication and alignment between facilities, operations, and leadership teams throughout the project lifecycle. • Stakeholder Communication & Project Management • Mail and shipment management • Responsible for processing and distributing all incoming mail and shipments • Support site shipping and receiving needs, typically small parcel YOU MUST HAVE: • 5+ years of experience in facilities management • Strong knowledge of building systems, maintenance procedures, and safety regulations. • Experience managing procurement processes and vendor relationships. • Excellent organizational, communication, and project management skills. • Proficiency in arenaflex Office Suite. • Ability to lift up to 50 lbs and perform physical tasks as needed.
