Overview
Reformation Lutheran Church is seeking a highly organized Office Administrator (part-time) to join our ministry team. This role is ideal for someone who enjoys providing exceptional support and ensuring the office and facility operate smoothly. As a vital member of the administrative team, the Office Administrator works closely with the Pastor and church leadership to support the mission and ministry of the congregation. This position manages daily office operations and handles a variety of clerical, communication, and hospitality responsibilities, fostering efficient systems and positive interactions with congregants, visitors, and staff.

Major Duties & Essential Functions:

Key Characteristics: God-centered, collegial, collaborative, creative; attention to detail, unflappable when last-minute changes are necessary

· Manage multi-line phone system, screening calls and directing inquiries appropriately using excellent phone etiquette, responding to after- hour messages

· Perform data entry and maintain accurate filing systems, both physical and digital, including document proofreading and record organization

· Perform office management tasks such as supply inventory, coordination of equipment maintenance, and coordinating mail or deliveries

· Provide administrative support, including typing correspondence, preparing and replying to email correspondence, scheduling meetings, and overseeing building use.

· Handle general clerical duties such as photocopying, faxing, review of contracts and processing to appropriate ministry boards, reviewing and submitting invoices for payment, filing and maintaining organized workspaces to ensure smooth daily operations.

· Maintain church calendar; schedule meeting spaces, activities, and event logistics.

· Assist with website content

· Prepare Publications promptly, with high accuracy

o Bulletins – regular weekly, and special events

o Announcements

o Electronic Posts

o Newsletters

o Annual Reports

· Coordinate and work with ministry boards and contractors regarding property issues

Supervisory Responsibilities: None.

Work Schedule: The Office Administrator will work during the church's established office hours. Expectation of commitment for hours worked per week will be approximately 20-25 hours per week to operate the church office and prepare necessary publications for regular weekly church services. There are occasional times during the year when the church has events that require time that cannot be planned for or completed during normal office hours. The Office Administrator will have the opportunity, with their supervisor’s permission, to work during these instances to provide coverage as necessary. These additional events will require additional time for preparation and participation and will be compensated accordingly.

Requirements

  • Proven experience in office management or administrative roles within a professional environment.
  • Strong organizational skills with the ability to multitask effectively in a fast-paced setting.
  • Excellent communication skills—both verbal and written—to interact confidently with staff, vendors, and clients.
  • Demonstrated supervisory experience in managing teams or overseeing office staff.
  • Proficiency in QuickBooks for bookkeeping and payroll functions; familiarity with medical office management is a plus.
  • Experience with event planning, vendor management, calendar management, and filing systems.
  • Knowledge of human resources procedures, including onboarding, training & development, and compliance standards.
